Assistant Finance Manager

Department/Location: District Administration
Reports To: Director of Finance & Human Resources
Work Schedule/Term: 12-Month
FLSA Status: Exempt


Position Summary

The Assistant Finance Manager provides leadership and administrative support for the district’s financial operations. This position assists the Director of Finance & Human Resources with accounting, financial reporting, purchasing, auditing, reconciling, and compliance. The role ensures the district maintains accurate, transparent, and legally compliant financial practices while supporting administrators, staff, and the school board.


Essential Duties & Responsibilities

Financial Management & Accounting

  • Assist with the monitoring and management of District, building, and department-level budgets.
  • Support the Director of Finance & HR with accounts payable, accounts receivable, and general ledger management.
  • Reconcile financial statements, bank accounts, and student activity accounts.
  • Maintain accurate financial records in accordance with District policies and state/federal guidelines.
  • Prepare reports, spreadsheets, and financial summaries for administrators, department leaders, the school board, and external auditors.
  • Prepare, monitor, and reconcile cash boxes for District and student activity use.
  • Assist the Director of Finance & HR with researching and monitoring investments.
  • Prepare tax reports for qualifying vendors.

Purchasing & Procurement

  • Coordinate District purchasing processes, including receiving purchase requests, maintaining purchase orders, placing orders, tracking deliveries, paying invoices, and maintaining documentation.
  • Assist with the procurement compliance, vendor management, and bid processes in coordination with the Director of Finance & HR.
  • Manage credit card use and reconciliation district wide.
  • Oversee fixed asset management in accordance with District policies and state/federal guidelines.

Other Duties

  • Perform other duties as assigned.

Qualifications

Education & Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • Minimum of three years of accounting, finance, or administrative experience; K-12 school finance experience strongly preferred.
  • Familiarity with public school accounting and state/federal reporting preferred.

Knowledge, Skills & Abilities

  • Strong knowledge of accounting principles and financial reporting.
  • Proficiency with accounting software, spreadsheets, and school district finance information systems.
  • Excellent organizational, analytical, time-management, and communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Strong problem-solving and decision-making skills with attention to detail.

Physical & Environmental Requirements

Physical Requirements

  • Frequent standing, sitting, keyboarding, speaking, walking, document handling, bending, and light lifting (up to 25 lbs).
  • Ability to operate standard office equipment, including computer, printer, copier, and phone systems.
  • Ability to participate in meetings, training, and school events as needed.

Work Environment

  • Standard office environment with frequent interruptions.
  • Frequent interaction with District staff, administrators, department heads, and vendors.
  • Periods of high activity during the ordering season, audits, the school year start, and the fiscal year end.
